Short Notice Exits - Failure of Advance Warning

Benefit and employment changes can take 30 days to process.

When employment ends, so do insurance, benefits, and tax payments. Should you fail to provide an advance warning, Reliant may pay for benefits on your behalf without the possibility of a refund. If Reliant receives an exit notification later than the 1st of the month of the last day of employment, we may direct any credits we receive to the account called "where most needed."

If a notification comes later than the last day of employment, Reliant is free to set the last day of employment according to Reliant's needs. Reliant will be free to adjust back pay and reimbursements related to any overpayment of salary.

Switching to Associate Volunteer Status

If you'd like to exit employment but stay on with Reliant as an Associate volunteer, reach out to your liaison.

Steps for Exiting Employment

Phone Appointment With Liaison to Complete Exit Information Form

During your exit phone call:

  • Your liaison will explain how the exit process works and assist you in determining the dates to submit on your exit form and communicate those dates in your final prayer letter to your donors about your decision to exit.
  • You will complete Exit Information Form. Please DO NOT submit this until you are on the phone with the Reliant Liaison.

Exit Prayer Letter

  1. Send your drafted exit prayer letter to your liaison for approval at least 14-30 days before your planned exit date. This letter will communicate your decision to leave Reliant employment to your team of financial partners and request that your partners continue giving to Reliant, possibly to other employees in your location or ones you have been associated with along the way.
  2. After approval, send your exit prayer letter to your ministry team.

Schedule Exit Interview

At least 14 days before the planned exit, schedule your exit interview with your Reliant Program Team Leader by selecting the calendar link:

Collegiate/GCC:Russell Dietrich's Calendar
U.S. Churches and Ministries: CJ White's Calendar

During this 30-45 minute call, you will discuss:

  • Your employment end date
  • Your reason for exiting staff
  • Your plans after leaving staff
  • The support you received from Reliant and your local supervisors throughout your employment
  • Any back pay (outstanding salary)
  • Any outstanding reimbursements

Backpay and Reimbursements

Reliant generally accepts requests for reimbursement of ministry expenses up to the second month following the last day of employment. Submit any reimbursement forms as soon as possible to reimbursements@reliant.org in order for these requests to be considered by Reliant.

If you have incurred back pay (i.e., outstanding salary) and/or have not yet received reimbursement for ministry expenses, you may inform your financial partners in your exit prayer letter that some contributions may be used to pay outstanding salary and/or ministry expenses.

Plan for Health Insurance Coverage to End

Your Reliant benefits, including health insurance, terminate the same day as your last day of employment.

If you are a plan member with Reliant's group health insurance, you may be eligible for continuance coverage after employment. For more information, see Continuation of Insurance Coverage or contact your liaison.

If you are a member of an HSA plan, please see Exiting Employment - What Happens To Your HSA

Update Automatic Deposit Agreement

If your bank account is changing, and you receive your paycheck through automatic deposit, update your automatic deposit agreement as soon as possible, before receiving your final paycheck.

Request MTD Fund Transfer (see Exiting MTD Transfer policy for guidelines)

If after your final paycheck and reimbursements, you believe there may be an account balance remaining in the MTD fund for which you are responsible, you may submit an Exiting Employee Transfer Request FormExiting MTD Transfer Requests must be received by Reliant no later than the 16th of the month of exit

Resource: Exiting MTD Funds Transfer

Prepare for your first.last@reliant.org email address, Google account, and Toolbox access to be closed

If you are fully exiting (not switching to Associate Staff), Reliant deactivates your email address and Google account one month after your exit date. We recommend downloading your paystubs for your records before your access to Toolbox ends.

Remove your Microsoft Office 365 from your computer if applicable

If you participated in the Reliant benefit of using Microsoft Office 365 at a discounted price, remove the software no later than your last day of employment. If you are remaining a Reliant associate staff, you still must remove the software, because only paid employees are eligible for this benefit.

Update Your Principal 401(k) Contact Information

Reliant notifies Principal of an employee's exit after their final paycheck 401K contributions have been remitted to Principal. Principal will then reach out about how to disperse any funds. Please log onto Principal as soon as possible and update contact information so that this communication is received.

Unknown User (ed.courtney@reliant.org) I would make the timeline for notification of exit and the resignation letter a much larger size font and in bold. I would put it closer to the top of the page. Since that is the first and most important step.

    1. Unknown User (ed.courtney@reliant.org)

Unknown User (daniel.cone@reliant.org) I put the first two timelines in a Note to make them stand out. What do you think about this?

  2. Unknown User (ed.courtney@reliant.org) I know this is slightly drilled down but we made a change from Resignation Letter to Written Notification.  We accept more general notice verses an official Letter of Resignation.  Am I allowed to change that wording or would you like to? And the notification is usually received before the exit memo, so the timing needs to be changed as well.

  3. Unknown User (ed.courtney@reliant.org)

Tonya Bartels You can change whatever you need to. If you need help, just let me know. I went ahead and switched those two steps because it took a little more formatting work.

Also, it would be good to go over the timeline since I switched those two steps.

    1. Unknown User (ed.courtney@reliant.org) I think I may have overwritten what you did.  Sorry.  I changed the order and corrected the timeline and some wording because of it.  Can you review it for me and make sure I didn't screw anything up?

      1. It has the wording that changed it to and the order was already changed when I went in.  It says what I want it to and the order is correct so we are good.  Thanks for double checking Ed I appreciate it.

  4. Unknown User (ed.courtney@reliant.org)

I added a note at the top that says, "This process does not need to be followed for interns/residents who began employment with Reliant with a specific end date of employment. The exiting process for interns/residents will happen according to the specific program's parameters."

    Does that help?

  5. Barb Seckler per Carly's suggestion I changed some of the wording at the top of the page.  Can you review it and please feel free to make any necessary changes you see fit.

  6. Mike Swann CJ White - I made the changes per our meeting last week 2020-10-16 Meeting notes- ES & US vertical teams - exit process - I assigned Review of this page to you in the workflow.  Please Review in the next 24-48 hours so we can get this Published by the end of this week please.

    1. Barb Seckler I don't like that we are using the term "long-term" to describe these missionaries, we are supposed to use the term on-going. I know our missionaries probably don't care or know the difference but for internal reasons I think we should change it.

  7. CJ White Mike Swann after a flurry of commenting (thanks Mike Swann all good input) we have this ready to final workflow REVIEW. Can you both please REVIEW and I'll ask Courtney to Publish.
