New for 2018! 

This year (2018), the evaluation form includes new questions that pertain to MTD. Please be sure to take the time with your missionary to discuss their MTD Health and accurately answer these questions. 

Salary Setting

The Reliant board has approved a 3% raise for all Reliant missionaries for 2019. If a missionary seems to warrant an additional salary increase, Mike Swann, Missionary Resources director, will discuss that with your church/ministry leadership during a compensation review conversation in November.

Missionary staff levels and salaries will be determined by several key factors. To determine the Ministry Level, we consider scope and burden of responsibility, formal training and years of experience related to the role. New salaries are based on these factors, as well as cost-of-living factors (inflation and geography) and job performance. 

Please be sure to indicate when the opportunity for additional salary increases exist in the evaluation. The types of things to note include:

  • Transitions into new Missionary Levels
  • New credentialing related to the ministry, such as ordination, commissioning or completion of educational degrees and professional licensing
  • Exemplary performance 
  • Additional responsibility

Dates to keep in mind

  • September 21 - October 31: Evaluations – Complete an Evaluation of each of your Reliant missionaries and submit by sharing with mr@reliant.org

  • October 31: Deadline for Reliant to receive your evaluations.
  • November 1-30: Compensation Review conversations between Mike Swann and local supervisors.
    • November 19: Deadline for scheduling an appointment with Mike Swann for the Compensation Review.
    • Reliant will send out a follow-up email in November to schedule this time. Please reach out to agustina.cahill@reliant.org at any time to get this on your calendar. 
  • December 15: Compensation Notices go out to missionaries.
  • January 15: Deadline for missionaries to accept new salaries.

Note

As a reminder, here are a few distinctions to our newer Annual Review process:

  • This document will be a shared resource between the Employee and their Supervisor.
  • The Employee will complete their portion and then share this resource with their Supervisor to fill out their section.
    • For the College Program Team only: Pastors, pastor spouses, and local church board members - you will share this with your supervisor and your church personnel committee.
  • Once completed, the Supervisor (or Personnel Committee) will write their name(s) at the bottom of the document and add a comment that says Completed.

Upcoming dates to keep in mind

  • April 4: Employee completes the Employee Input section of the Annual Review and shares it with their Supervisor.

    • For the College Program Team only: Pastors, pastor spouses, and board members will share this with their church personnel committee and supervisor.
  • April 30: Supervisors complete the Annual Review.
  • May 1 - June 5: Compensation review conversations between Program Team Leader and local compensation decision-makers.
    • Reliant will send a follow-up email to church leadership once all your evaluations are completed to schedule this time.
  • June 16: Employee compensation updated, and employee notified by email.
  • July 16: Deadline for employees to accept new salaries for August paycheck.

What to do next?

  • Both Employees and Supervisors can review this entire page so that they are ready to complete the Annual Review when it is sent to them.
  • Field Staff, watch your Reliant email inbox for an email with a link to the Annual Review.
  • Supervisors, the employee will notify you when he or she completes the Employee Input portion of the Annual Review, so watch your inbox for that notification. Then, you will fill out the Supervisor Input section.

  1. Find your most current Job Description. You will refer to it as you complete the Employee Input portion of the Annual Review.
    1. If you cannot find your job description or do not believe you have an updated one, be prepared to give your best estimation of your primary roles during your review. Then, work together with your local leadership to submit a new Job Description.
  2. In your Reliant email inbox, find the email with the link to the Annual Review. If you can't find the Annual Review email, please email your Program Team.
  3. Click on the Annual Review Link to make a copy of the Google Sheet. You must be logged into your Reliant Google account before doing so.
  4. Rename the Google Sheet to "2025 Spring Annual Review (Last Name, First Name)".
  5. Review the Employee Input tab. You will need to complete all of the boxes highlighted in blue. Once you complete the field, it will no longer be blue.

When complete, use the Share button in the upper right-hand corner and share the document with your Supervisor and any other person completing your Annual Review. (E.g., a Church Personnel Committee)

Tip

After completing the Supervisor section of the Annual Review, it is strongly recommended that you meet with the Employee and review your assessment and feedback with them.

The Employee will share the Annual Review Google Sheet with you to begin the process, so please watch your inbox for that notification email.

  1. Once you access the Google Sheet, review the Employee Input tab to see how the Employee completed their self-assessment and comments.
  2. Go to the Supervisor Input tab. You will need to complete all of the boxes highlighted in yellow. Once you complete the field, it will no longer be yellow.

When complete, submit the Annual Review by typing your name at the bottom of the document and adding a comment that says Completed.

Annual Review

The annual review begins with the missionary completing the Missionary Input tab, which allows them to do a self-assessment on their performance of MTD, Ministry Duties, Ministry Skills, and Character. They will also share their accomplishments over the past year and goals for the following year.

The Annual Review should be tailored to the job role. Like the previous version, the Missionary will add five to seven of their most significant ministry duties to the Review. The missionary can also select five ministry skills from a list (or add skills, not on the list) that are most necessary for their role and complete a self-assessment on those skills.

The rating scales have also been changed on the new Annual Review to more simplified language. 

After the Missionary completes their portion, they will share it with their Supervisors and/or other leaders who will complete the Annual Review. The Supervisor should review the Missionary Input tab and then fill out the Supervisor Input tab. The Missionary will be able to see what the Supervisor entered in the Annual Review.

Missionary Staff Level Updates

The titles and descriptions for Staff Levels have been updated for 2022. The new levels align closely with the previous levels, but the descriptions focus more on the responsibilities and experience required for the role. The transition to the new staff levels will occur over the next several months.

The staff level for U.S.-based, career missionaries will automatically convert from the current levels to the new level names:

Supervisors, as part of the Annual Review, you will be asked if you would like to update the Staff Level for the Employee. Please make sure that you take some time to review the new Staff Levels and follow the instructions on the Annual Review for notifying Reliant that you'd like to make a change. Please get in touch with your Program Team (What Program Team Am I On?) if you have any questions. 

Job Description Template

If you do not have an updated Job Description that you have shared with Reliant, please go to Job Descriptions to submit a new one. While it is not mandatory to update your Job Description during the Annual Review season, it may make sense to do it now as you will be asked to refer to your Job Description as part of the Employee Input stage of the Review.

    1. If you have trouble accessing the Google form, please contact mr@reliant.org.
  1. Complete one performance evaluation spreadsheet for each missionary you supervise.
    1. First tab of evaluation – This must be fully completed for each missionary you oversee. 
    2. Second and/or third tab of evaluation – These are to be completed for missionaries if you believe they may be close to a promotion to a new staff level. Complete either the Missionary tab or the Pastor/Minister/Ministry Supervisor tab, depending on their staff level. If they are not close to a promotion, you may skip these tabs. 
  2. Meet with the missionary you are supervising and provide him/her feedback.
    1. Reliant carries the value that each missionary receives an annual evaluation of their progress, performance and fruitfulness. Missionaries need to receive regular constructive feedback regarding their performances. If you handle this feedback in another context, that is great. The minimum commitment of Reliant's Partner Organizations is to give solid feedback at least once a year. 
  3. Share completed evaluations with mr@reliant.org by October 31.
  4. Schedule a Compensation Review call with Mike Swann. These are done between November 1-30, and each call typically lasts 20-30 minutes. We will review together changes needed in ministry levels and salaries. We will send out a sign-up reminder in late November. Feel free to reach out to agustina.cahill@reliant.org if you would like to schedule that call sooner. 
  5. Notification of new salary offers go the missionaries on December 15. January 15 is the missionary's deadline for accepting the offer and setting new support goals.

Ministry Experience Evaluation
