If the monthly time card is locked, you may submit an exception request for reporting any hours worked. The exception time card hours will not be paid at the same time as if they had been submitted on the regular time card. The exception time card hours will be paid with the payroll of the hours worked that month.

Example: January time card was locked, so January exception hours submitted in February will be paid with the normal February time card on the March paycheck. 

IMPORTANT

If you are submitting an Exception Time Card that is more than three months late, please reach out to your program team for approval prior to submission. 

  

To submit an Exception Time Card, follow the steps below:

  1. Send an email to payroll@reliant.org (cc: your program team) that states, "I would like to submit an exception time card for the month of _______________ due to (explain reason for needing to submit the exception).

  2. Wait for payroll to respond to the email stating that your time card has been unlocked for the month you requested. A note will be added to your time card for that month, documenting that this is considered an exception time card.
  3. Once the time card is unlocked, fill in your hours worked that month, as usual. Sign and date the time card, and add a comment stating "I am submitting this exception Time Card." 
  4. Tag your supervisor requesting they add their approval, following the usual process.
  5. Once both signatures are present, payroll will process the Exception Time Card in conjunction with your regular time card, the following month. The hours listed on your exception time card will be added to your regular and overtime hours listed for your next month's regular time card.
  6. Payroll will tag you in a comment on your exception time card, confirming what month's paycheck the exception hours will be added to (most likely the following month).
