For coaches, Toolbox can provide a wealth of information about your missionary and their progress. Toolbox has many features, but the primary coaching use of Toolbox is to do the following:

  1. MTD Reporting: Track all giving and provide an accurate percentage of support raised.
  2. MTD Activity: Track and report all MTD activity used in coaching.

How to View and Track Your Missionary’s MTD Progress/Activity

Log yourself into Toolbox with your Reliant Username and Password.  You may see tabs for you to view your own MTD Dashboard and/or MTD Activity Tracking. Once you have successfully logged into Toolbox, you will click “Coaching” on the left navigation panel. Here, you will see that you have access to view info on your missionaries individually or as a group.



If you happen to be coaching all interns or Fixed Term residents, you can see a simple chart of all your missionaries' current progress and percentages, click “summary programs”. This will show you all the individuals that have been assigned to you as a coach. On this page you will be able to easily view an individual's goal, current percent, received and promised giving, as well as the remaining amount left to raise. For a more detailed look at each of your missionaries, click “individual.” (or if you are in the summary view, you can click on the person's name). Here you will see the same info that is on the missionary’s dashboard. You can track MTD activity on the individual page or by clicking “MTD Activity.”


MTD Reporting:

Once you visit an individual's page, you will see their personal dashboard. The top photo shows an intern/resident dashboard while the bottom photo shows a long term missionary dashboard. 


This dashboard will provide most of the information that you and the missionary will need in order to track the progress of MTD. Let's walk through each of the sections.


Basic information:
Here you will find things such as their fund number, MTD status, and training date. These can be useful if you are coaching a multitude of people and need to keep things straight. The information is slightly different if you are coaching residents/interns or if you are working with long term missionaries.

Fundraising:
This dashboard section shows the missionary's info at a glance (very similar to what you would see in the summary portion from earlier). Toolbox will also provide detailed information on “received gifts” and “promised gifts" for interns/residents. This is a simple way to distinguish between the gifts that have arrived to the missionary's account and the gifts that have been promised to the missionary.

If you are working with a resident/intern, here is how the fundraising section will look:

  • Start Date: The date the ministry assignment is due to begin

  • Time Left: How much time left until the release date

  • Goal: Current active goal 

  • Amount Received: Total amount of funds received (includes single gifts, and any promised gifts that have actualized)

  • Amount Promised: Total amount of gifts that are scheduled to be given in the future

  • Amount Remaining: Total amount of funds left to raise to reach 100% funded

  • Suspended Promised: Any gift that has been put on hold due to the funds not being received (often a credit card issue)

If you working with a a long term missionary, here is how the fundraising section will look:

  • Goal: Current active goal 

  • Monthly Promises: Total monthly amount of recurring gifts

  • Not Current: Total monthly amount of promises (recurring gifts) that are non-current. This includes any frequency of recurring giving broken down monthly (ex: if someone gives $1,200 annually, it will show up as $100/month).

  • Suspended Promised: Any gift that has been put on hold due to the funds not being received (often a credit card issue)

If a promised gift does not come through one month, Toolbox will track this as a “suspended promised” gift and provide helpful information for the missionary to follow up with the donor.

Current Month:
This section of the dashboard shows the progress that has happened in the current month. Here is what each of the numbers represent.

  • New Donors: The number of donors whose first gift given falls in the current month
  • New Promised Gifts: Total amount of the gifts those donors are giving

  • Promised Gifts Received: amount of funds that has come in from promised giving so far this current month

  • Promised Gifts Remaining: any promised giving that is expected to come in later this month

  • Promised Gifts Total: Total amount of funds expected to come in throughout this month

  • Single Gifts Received: Amount of single gifts received in this current month

  • Projected Total: Total amount projected to come in from promised and single gifts

Monthly Summary
This section shows the progress of giving month to month for the individual. This is a great way to help track patterns over time to see if progress is being made. 


MTD Activity  

The next section at the bottom of the dashboard is MTD Activity. We encourage our missionaries to fill out this activity tracker once a day (but very likely this is something as a coach you will need to encourage them to do). These activity trackers are a great way to evaluate week to week if someone is meeting their goals/doing the work that MTD requires of them. Filling it out once a day ensures that they aren't missing anything (or making guesses) and lets us track patterns in real-time. 

In this section of Toolbox, the missionary will be able to: 1. Track totals (summary), 2. Input data (entry form), and 3. View their MTD activity goals. Here are screenshots for how each of these looks on Toolbox.


Summary:

Here, MTD Activity can be sorted daily, weekly, or monthly. Some of the things that are tracked are connection attempts by call, connection attempts by text, meetings, follow-up calls, and MTD letters sent. As a coach, you'll be able to see this summary at the bottom of the individual's dashboard. At a glance, you'll be able to see how a certain week has been going numbers-wise as well as be able to see their average over a month's time. Use these numbers to help a missionary see patterns and progress. For example, if they feel like they aren't able to get enough appointments, but most of their connection attempts have been via text messages, coaches can suggest trying a different method of communication such as a phone call. 


Entry Form:

The data from the summary page is the result of what the missionary inputs in the entry form. It is recommended that the missionary tracks their activity daily, and as you can see in the screenshot below, doing this on Toolbox is very user-friendly. The missionary will be required to update weekly activity at least once a week for the coach and church leader to view.


Goals:

Finally, the goals that are created between you and the missionary are easily viewed in this section.
