titleException Request for Driving an LT Participant

We need to make a distinction in this special exception request to show that we did not coordinate the transportation for the participant. We can approve this exception by making it clear that the student (and parents) reached out to the staff member asking for a ride in order for the student to attend the program. 


Have the parent send an email explanation to lt@reliant.org that states that they If you wouldn’t mind emailing me back with an explanation to say that you guys reached out to the staff member (name) and that you they understand that the Program has not begun until arrival the participant arrives at LT. And please Ask them to also include that you they understand that driving to the Program is separate from the Program itself and that you they assume all liability in travel and that they are requesting approval for an exception to travel with a Reliant staff member to LT. 

Then, I think that would cover our bases. (Dave, do you have any other things to add?)Please let me know the name of the staff member and once we receive your email, I will reach out to the staff member as well to let them know that we are allowing this exception to the original ruleReliant will reach out to the staff member once we receive the special exception request to let them know that we are allowing this exception to the original rule.

Here is a sample exception request: 

I would like to request that my son/daughter (name) (cc’d here on this email), be allowed to ride with Reliant staff member (name) from (starting location) to the (lt location).  We understand and acknowledge that the Reliant Leadership Training program does not begin until after arrival at the (lt location), and the travel accommodations are outside of the Leadership Training program.  We contacted (staff member name) to initiate this, and my son/daughter (name) and I assume all liability with this travel situation.

Please reply with your approval of this exception, or let me know if you need additional information from us.


Here is a sample then sent to staff member to approve the request:

Reliant received this travel exception request from parent (name) and we approve his request to allow his son/daughter (name) to travel with Reliant staff member (name) to LT. This request helps to prove in writing that staff member (name) (along with his church and LT) was not organizing carpool for (participant name), but that (participant name) and his family reached out to staff member (name) needing a ride in order for (participant name) to attend LT. (Parent name) also states in the exception that he understands that the travel is not considered part of the LT program and that (parent name) assumes all liability during travel. Therefore, Reliant is giving their thumbs up to allow (participant name) to travel with staff member (name).



Many parents ask about transportation to and from the airport to the YMCA for the LT programs. There is a shuffle from the airport to the YMCA for the Estes Park LT program.
