The information below is for directors wanting to start-up a new Collegiate LT using Reliant's registration system.

Note
Collegiate confirms their LTs for the next summer during their NEB Collegiate National Board meeting in mid-November.  A A new LT can not officially be set up online without the NEBNB's permission, but because the LT information is due so quickly after the NEB NB is over to be able to launch the website by mid DecemberThanksgiving, paperwork is sometimes sent to the potential LT director(s) in advance. Reliant will need to set up a new fund number before the online regisitration registration can be launched.  Once Once the Collegiate NEB NB has voted to add the new LT and the LT directors have been chosen, Greg Van Nada The National LT Director will need to send Dave Meldrum Green an email saying please add a new LT fund connected to our Collegiate fund and verifying the official directors director (or co-directors) for that LT fund.  The The director(s) will be then become the signers for all finances within that fund so any finanical financial requests made will need the approval of a signer for that fund.   If the directors wish, they can request additional signers of their LT fund (ex. a finance administrator for their LT) by emailing Dave Meldrum Green.

There are two websites associated with a Collegiate LT.

There are two websites that will need information about a new LT.

1-One is the reliant site which is where participants will actually register.  All the paperwork below is used for launching this registration site.   Reliant will give directors (or LT administrators) access to view their participant's application answers and that’s where directors will accept them, keep track of medial/insurance forms and participants will receive acceptance emails all from this site.

2-The other site is http://collegiatelt.com/

This site is updated by Zakk Roberts (zakk@h2oPittsburgh.org) and it Collegiate’s LT information page for students and parents.  On this site is a link to go register on the Reliant site (and on the Reliant site is a link to the Collegiate site).  You will be asked by Zach for information for your LT.  The LTs on the Collegiate site this year will be the two Colorado LTs and Adirondack LT.

Each LT has a welcome page, a program details page, info about the program director, info about finances (payment and dates), employment info (which is similar to the page we are asking you to send me on employment), and the other ones have a student’s perspective (but since this is your first year that probably won’t be relavent).  So, a lot of the info you are sending Reliant you can just resend over to Zakk, but there is also some extra work involved there.  You can go online and check out the pages to give you an idea of what info you will need to collect to send Zakk.

What information does Reliant need to be able to launch your new LT registration site?

LT director or co-directors name, email, and phone number?

LT dates?

Fee amounts? (do you think you’ll be doing the exact same fee amounts and dates the fees are due as COLT?) I’ve listed COLTs payment information from last year below- most of it is info approved for all LTs other than the amounts/dates.

UI Text Box

At the end of this application, you will be asked to pay an application fee and then you will need to upload forms.  Your application will not be reviewed until all forms and recommendations have been turned in.  Your application will then be reviewed and once you have received an acceptance email you will then come back to mygcm to pay your program deposits and fees.

A program application fee is required to complete this application.

Application Fee:

Early Bird Registration $25 (Immediately- Feb. 15th)

Standard Registration $50 (Feb. 16- March 15th)

Late Registration $75 (March 16th-April 15th)

Your application fee rate is applied based on the day of payment (not the date your application began).

The total program fee is $695 (plus the application fee.) That program fee will be paid in installments throughout the summer. A program deposit of $95 is due on April 30th.

There is a program fee discount offered to those participants returning for their third year (or more) to attend COLT.

Each missed payment may result in a $25 late fee.

Returned checks will result in a $25 fee per returned check.

Participants agree to complete all payment obligations.

There are generally no refunds for the LT program.   Any possible refund will be decided on a case by case basis- any only for extreme cases.

If you withdraw from the program:

  • Before May 1- you will forfeit the registration fee and your program deposit that was due in April.
  • After May 1- any possible refund will be decided on a case by case basis- and only for extreme cases (i.e., Death of parent or sibling, severe illness, etc.)

There are no refunds for participants who are dismissed or choose to leave the program

Web Description: (This would go both on the Reliant Registration page as well as the Collegiate Registration page)

Colorado LT (COLT) is an 11 week summer discipleship program for college students.  At COLT you will be living and working at the YMCA of the Rockies in the outdoor paradise of Estes Park, CO.  Living adjacent to the Rocky Mountain National Park- you can literally walk out your front door and within minutes be climbing a mountain or be hiking in the woods.

Remember, there are two applications you will need to fill out.  The first one, is this application for registration into the program.  The other, is with the YMCA for employment.  Acceptance as an employee of the YMCA is mandatory for participation in the program.  You can apply for a job at the YMCA at www.ymcarockies.org

The YMCA provides a close-knit community as you live and work alongside the same people allowing you to easily establish new relationships.

The YMCA of the Rockies is a coveted summer work experience for people all around the world (more than 50 countries may be represented)!  As you enjoy the outdoors and the amenities of the area, you'll have many natural opportunities to build deeper relationships with the people you live and work with.  This provides the perfect setting for talking about spiritual subjects.

I need you to write a section about your LT to add to this employment policies page. This is something the students have to read and say they have read on the application.  I’m not sure if the “How to fill out the YMCA application without mistakes” link on the employment policies page will double up for COLT and for you guys too, but if not, can you make a version of it for your specific YMCA LT and send that to me?

I will also need these two things (Orientation Packet and Acceptance Email) for your LT (attached to this email in Word format so you can easily make changes and send it back). I sent you the COLT 2015 versions as a starting place.

Name and email of who will be accepting participants/reading their online applications and making sure all the forms are submitted to Reliant?

Name and email of who will be handling the collection money?

Name and email of who will be handling the petty cash/reimbursements?

adding that to the LT set up form.

Once you are ready to launch an LT, you will submit an LT set up form. Our goal is to have collected all LT info (in the LT set up form) by early November (as soon as you hear a yes from the Collegiate National Board that the LT can take place) for a live launch of LT registration by Thanksgiving.

Each year, the directors and Reliant will need to edit the following for the LT Assessment in Breezy:

Pages from the Breezy assessment.

How to fill out the Y application.

LT Setup Form

Some things to make sure are filled out when completing your event setup form.

  • We will need the names of all the LT staff and the dates they will be at LT along with any LT fees to charge.
  • A list of speakers and the dates they will be speaking and amount for their honorarium.
  • Who will be your finance administrator?
