The Why

Our tech team has thought through the best security measures for your email, VPN, and computer with the goal of:

  1. Allowing you to, as securely as possible, connect with Reliant Central regarding any financial matters.
  2. Being able to send paystubs and employment related requests to a proton-based email.
  3. Keeping Reliant and the legal entity completely separate.

Therefore we are going to provide for you two emails:

  1. Google-based email for communication with Reliant.
  2. Protonmail-based email for communication to anyone else.

1) Google-Based Reliant Email

Your current Reliant email will continue to operate the same as before; this email address will be utilized for Reliant communication. We ask for this email that you:

  1. Log-in to your VPN before jumping on the web browser.
  2. Only open it through a web browser. DO NOT utilize Apple Mail, Outlook, or any other desktop application for this email. 
    • when logging in to Reliant's websites, use a private browsing window (incognito mode)
    • when logging in to Reliant provisioned third-party websites (e.g. outlook), make sure you sign out when done
  3. Only use this email for contacting Reliant Central staff. No one else. If you're sending to @reliant.org, use your @reliant.org email.  If Central is sending an email to an international worker, they send from @reliant.org and to their @reliant.org

2) Proton-Based Email

We are adding this Proton-based email for the following reasons:

  1. For sending W2's and paystubs to the Legal Entity employees (which is you).
  2. The domain name for these emails will be @legalentityname.global, which will allow you to link your new employment with a real email address. This will look more legitimate than @protonmail.com and will be more secure than @reliant.org 
  3. For emailing others, like your teammates who would also have an @legalentity.global email, this provides end-to-end encryption for emails to others with a Protonmail account.
  4. You can utilize Protonmail with Apple Mail, Outlook, or other desktop-based applications. You will need to download the Protonmail Bridge to accomplish this.  
  5. Reliant employment services and Program Teams will NOT send emails to this Protonmail account. 
  6. If you're sending to @legalentity.global then you should only use your @legalentity.global email address.

Personal Email or Team Email

Some of you may have a team email and likely all of you have a personal email. Feel free to utilize your personal email for emails to friends and family. Keep in mind that any email outside protonmail to protonmail will have some risk. So be careful with language.

If you have a team email that is Google based, that you use for Google docs, this is fine to use, but we would recommend only doing it on a VPN and only doing that on a web browser. Do not use the Google Drive Desktop application.

Recommendations for Mitigation of Risk with Email

  • Do not have multiple email addresses on Apple Mail or Outlook applications. Open @reliant.org in your web browser only. If you would like to utilize Apple Mail or Outlook just put one email address in those programs. 
  • Be on the VPN anytime you are utilizing email, Google Drive, or anything work related.
  • Log out and clear your cache anytime you are finished working (i.e. end of day, when moving from point to point, leaving your house).
